Switching IT providers

What happens when we switch IT providers?

The short answer

For most businesses, switching IT providers takes 2 to 4 weeks. The new provider documents your environment, collects credentials from the outgoing provider, installs its monitoring and security tools, and moves your team onto its help desk. Complex environments that need upgrades or security cleanup can take 4 to 8 weeks. Done well, your staff barely notices.

What happens first?

Discovery. We document everything: hardware, software, accounts, configurations, vendors, and the things that bug your team every day. Most switching pain comes from what nobody wrote down, so this step is where the time goes.

What about passwords and admin accounts?

This is the credential handoff. The outgoing provider holds the keys to your Microsoft 365 tenant, your firewall, your backups and your domain. We give you a list of exactly what we need and help you collect it. Anything that sits in a vendor’s name gets moved into accounts your business owns.

When does the new help desk take over?

Once monitoring, security tools and backups are in place and verified, your team starts calling the new help desk. That cutover is a date, not a gradual drift, so nobody wonders who to call.

What does my team actually notice?

Usually a short email about how to get help, a new icon on their computer, and a few old annoyances that finally get fixed. If the switch is noisy for your staff, something went wrong in planning.

What happens after the first month?

Stabilization, then a roadmap. Around the 90-day mark you should have a written plan for what to fix, replace or budget for next. The week-by-week version is in our first 90 days guide.

Do we have to tell our current IT provider we are leaving?
Yes, eventually, because the new provider needs admin credentials, licensing details and documentation from them. We plan the handoff with you first, so the conversation with your current provider happens once, on a date you choose, with a list of exactly what is needed.
Will we lose anything during the switch?
You should not. The first step is documenting everything you have: hardware, software, accounts, vendors and backups. Nothing gets turned off until its replacement is confirmed working.
